Privacy Policy

This Privacy Policy explains how Iligan Drone Operators (“we”, “us”, or “the System”) collects, uses, stores, and protects information when you use our flight schedule management website and mobile application. By registering for or using the System, you agree to the practices described below.

1. Information We Collect

We only collect information that is necessary to operate the flight scheduling and approval workflow.

a. Account and profile information

  • Full name and email address
  • Password (stored only as a one-way encrypted hash — we never store or see your actual password)
  • Sex, home address, and contact number
  • Emergency contact details
  • Account role (Pilot, Admin, Command Center, or Super Admin)

b. Aircraft information

  • Aircraft or drone model registered to your account
  • Aircraft serial numbers

c. Flight schedule information

  • Purpose of the flight and the flight location
  • Date and time of the planned flight
  • Aircraft assigned to the flight
  • Additional remarks you submit, and the approval or disapproval status and reason

d. Technical information

  • Session and authentication tokens required to keep you signed in
  • Push notification device tokens, if you allow notifications on the web or mobile app
  • Basic server logs such as request dates, times, and error records

We also retrieve public weather forecast data for flight locations. This data comes from a third-party weather provider and is not personal information.

2. How We Use Your Information

Your information is used strictly for the following purposes:

  • Creating and managing your account and verifying your identity as a registered operator
  • Processing, reviewing, forwarding, approving, or disapproving flight schedule requests
  • Allowing administrators and the command center to coordinate and monitor drone operations
  • Sending you notifications about the status of your flight schedules and related activity
  • Contacting you, or your emergency contact, in the event of an incident or safety concern
  • Protecting the System through access logging and abuse prevention
  • Producing operational statistics and reports for internal review

We do not sell, rent, or trade your personal information, and we do not use it for advertising.

3. Who Can See Your Information

Access to your information is limited by your role within the System:

  • Pilots can see their own profile, aircraft, and flight schedules.
  • Admins can see pilot profiles, aircraft, and flight schedules in order to review and act on them.
  • Command Center personnel can see flight schedules forwarded to them for coordination.
  • Super Admins can see all records for the purpose of system administration.

We may also disclose information when required by law, by a valid legal request, or by the relevant aviation, local government, or law enforcement authorities, and when necessary to protect the safety of persons or property.

4. Third-Party Services

The System relies on a small number of third-party services to function: a cloud hosting provider for the servers and database, Firebase Cloud Messaging for push notifications, and a weather data provider for flight forecasts. These providers process only the data needed to deliver their service and are bound by their own privacy policies.

5. Registration by Invitation

Pilot accounts are created using a registration token issued by an administrator. We keep a record of which token was used to create your account so that registrations can be traced and verified.

6. Data Security

We protect your information using password hashing, role-based access control, protected sessions, and restricted administrative access. While we take these measures seriously, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

7. Data Retention

Account, aircraft, and flight schedule records are retained for as long as your account is active and for as long as required for operational, safety, and regulatory record-keeping afterwards. Notification device tokens are removed when they expire or when you disable notifications.

8. Your Rights

You may, at any time:

  • View and update your profile information from your account profile page
  • Change your password
  • Add, edit, or remove aircraft registered to your account
  • Turn push notifications off through your browser or device settings
  • Request a copy of the personal information we hold about you
  • Request correction or deletion of your personal information, subject to records we are required to keep

9. Children’s Privacy

The System is intended for registered drone operators and authorized personnel. It is not directed at children, and we do not knowingly collect information from anyone under 18 years of age.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date at the top of this page. Continued use of the System after a change means you accept the updated policy.
